This Privacy Policy explains how we collect, use, disclose and protect personal information through condomanagementcorp.com and in the course of providing condominium management services. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, the record-keeping requirements of Ontario's Condominium Act, 1998.
1. Information We Collect
We collect personal information that you choose to give us, including: your name, email address, phone number and mailing address; your unit, building or corporation details; information submitted through our Contact, Proposal Request and Status Certificate forms; payment details needed to process fees such as status certificate requests; and any messages or documents you send us. When you visit our website, we may also automatically collect technical information such as your IP address, browser type, pages visited and time on site through cookies and similar tools.
2. How We Use Your Information
We use personal information to: respond to inquiries and proposal requests; provide condominium management services to the corporations we serve, their boards, owners and residents; process status certificate requests and related payments; manage resident portal (tenant login) accounts; send service notices and updates; meet our legal, regulatory and contractual obligations; and improve our website and services. We only collect what is reasonably needed for these purposes.
3. Consent
By submitting information through our website or to our office, you consent to its collection, use and disclosure as described in this policy. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting us. Withdrawing consent may limit our ability to provide certain services.
4. Sharing Your Information
We do not sell, rent or trade personal information. We may share it only: with the condominium corporation and its board of directors as required to manage the corporation; with service providers and contractors who help us operate (for example, maintenance, IT, website hosting, payment processing and accounting), who must protect it and use it only for the services they provide to us; with our affiliated companies where needed to deliver a service you have requested; and where required or permitted by law, including court orders, the Condominium Authority of Ontario, the Condominium Management Regulatory Authority of Ontario or other regulators.
5. Electronic Communications
We send commercial electronic messages only in accordance with Canada's Anti-Spam Legislation (CASL). You can unsubscribe from non-essential messages at any time using the link in our emails or by contacting us. Service and administrative notices related to your unit or corporation may still be sent.
6. Cookies and Analytics
Our website uses cookies and analytics tools to understand how visitors use the site and to improve it. You can set your browser to refuse or delete cookies, but some features of the site may not work properly as a result.
7. Storage and Security
We use reasonable physical, administrative and technical safeguards to protect personal information against loss, theft and unauthorized access, use or disclosure. Some of our service providers may store information outside Ontario or Canada, where it may be subject to the laws of that jurisdiction. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
8. Retention
We keep personal information only as long as needed for the purposes it was collected, or as required by law, including the record retention periods set out in the Condominium Act, 1998. When it is no longer required, we securely destroy or anonymize it.
9. Access and Correction
You may request access to the personal information we hold about you and ask us to correct any inaccuracies. We will respond within the time required by law. We may need to verify your identity before releasing information, and in some cases access may be limited as permitted by law. Requests for condominium corporation records are handled under the Condominium Act, 1998.
